Cancellation & Rescheduling Policy

We understand that life happens. Please read our policy below so we can serve all our patients fairly and keep appointment slots available.

48-Hour Cancellation Notice

We require at least 48 hours’ notice to cancel or reschedule an appointment. This allows us to offer the slot to another patient who may be on the waiting list.

Late Cancellations (under 48 hours)

Cancellations made with less than 48 hours’ notice will be charged 50% of the session fee. This applies to all appointment types, including home visits.

No-Shows

Failure to attend a booked appointment without any prior notice will be charged at 100% of the session fee.

Home Visit Cancellations

For home visit appointments, late cancellations and no-shows will also incur the £25 transport fee in addition to the applicable cancellation charge.

How to Cancel

To cancel or reschedule, please contact us as soon as possible by phone/WhatsApp at 07878 859749 or by email at info@londonhealingtherapies.com. You may also cancel directly through the Cliniko booking system if you booked online.

Exceptions

We understand that genuine emergencies occur. In cases of sudden illness, family emergencies, or other exceptional circumstances, please contact us directly and we will review the situation on a case-by-case basis.

Privacy & GDPR Policy

London Healing Therapies is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Data Controller

The data controller for all personal information collected by this practice is Estivaliz Inigo Torres, MOst, trading as London Healing Therapies, 204 Mitcham Road, SW17 9NN, London.

What Data We Collect

We collect and process the following personal data: full name, date of birth, contact details (phone, email, address), health and medical history, appointment records, treatment notes, and payment information. For home visit and mum & baby clients, we may also collect additional health information relevant to your care.

Why We Collect Your Data

Your data is collected to: provide safe and effective osteopathic and massage therapy treatment; manage your appointment bookings; send appointment reminders and aftercare advice; comply with our professional and legal obligations as a registered osteopath (GOsC); and process payments.

Legal Basis for Processing

We process your data under the following legal bases: Legitimate Interests (providing healthcare), Legal Obligation (professional registration requirements with the General Osteopathic Council), and Consent (for marketing communications, where applicable).

How We Store Your Data

Your clinical records are stored securely using Cliniko practice management software, which is UK GDPR-compliant and ISO 27001 certified. Paper records, if used, are stored in a locked cabinet. We retain patient records for a minimum of 8 years following the last treatment, in line with GOsC and healthcare standards.

Sharing Your Data

We do not sell or share your personal data with third parties for marketing purposes. We may share data with: other healthcare providers (with your consent, for referral purposes); professional indemnity insurers; and regulatory bodies (e.g., GOsC) if required by law. Our booking platform (Cliniko) processes data on our behalf under a data processing agreement.

Your Rights

Under UK GDPR, you have the right to: Access a copy of the personal data we hold about you; Rectification of inaccurate data; Erasure of data where legally permissible; Restriction of processing in certain circumstances; Data Portability; and Object to processing. Cookies & Website Data

Our website may use essential cookies to ensure it functions correctly. We do not use tracking or advertising cookies. No personal health data is collected through this website.

Complaints

If you have concerns about how we handle your data, please contact us first. If you remain unsatisfied, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
